1. Can anyone apply for a USAC Event Permit?
Active club or USA Cycling Authorized Dealer membership is required to permit a USAC event. In an age of rising liability concerns, official club status helps to protect officers and members of the club as well as advancing the sport of competitive bicycling.
2. When must permit applications be submitted?
All event permit applications must be received a minimum of six weeks prior to an event. This early deadline allows for the processing of the application by our events department and the request for insurance coverage by our insurance carrier, as well as meeting the publishing deadline for the event calendar in USA CYcling Magazine . Be aware that submissions made after the seventh week prior to the event date will result in late or rush permit fees being assessed and may result in your race not being permitted.
3. Can parties other than USAC Club officers, members, and volunteers be insured?
The Event Permit Application provides a section for clubs to list additionally insured parties. Generally, only sponsors and landowners receive certificates. Other promoting agencies and race related groups who are listed as additionally insured receive coverage but do not receive certificates. Please note that only the parties listed as additionally insured on an Event Permit Application (or accompanying sheets) will be included in the insurance coverage. These additionally insured must be clearly identified as to their relationship to the event. The club, its officers, volunteers and members are automatically insured as the promoting club. If you must add additionally insured to your permit following submission of paperwork, please write or fax the USAC office no later than five days prior to the event.
4. Can a club change its name after the annual membership has been submitted?
Yes, USAC allows club name changes if submitted in writing. Officers may also be changed during a year.
5. What are the fees for USAC event permits?
Event permit fees vary between the USAC member associations. Here is a brief guide:
- USCF Prize List Surcharge: 6 percent of cash and merchandise retail value at the event for A, B and C races, but not for D and E. Permit cap of \$1000 per day.
- NCCA Basic Permit Fee (per day of the event): \$25
- Permit Filing Penalties:
- Late filing fee (within six weeks of event date): \$50
- Rush filing fee (within two weeks of the event date): add \$100
- Non-Competitive Event Fees (per day):
- Training Ride or Camp/Clinic:
- 1-3 days: \$15/days
- 4-30 days: \$50
6. Can event permit fees be refunded?
Although USAC policy does not allow cash refunds, cancelled or unused event permit fees may be applied to upcoming USAC events within the same calendar year.
7. Are insurance surcharges collected for riders using trial memberships?
Yes, all participants regardless of their license must pay the \$2 per day insurance surcharge. There are no exceptions. For ease in accounting, it is suggested this surcharge be included in the race entry fee.
8. Is there a mailing list of USAC members available for rental?
Yes. USAC clubs receive reduced rental rates from the regular commercial rate for NORBA, USCF and NCCA member lists. Labels may be ordered on pressure-sensitive (sticky) labels or standard four-up cheshire labels (for mailing houses), either in alphabetical or zip code order. Label orders may take up to two weeks for processing and pre-payment is required.
9. When are race post-event materials due?
All post event materials, including license applications and all applicable event paperwork and fees, must be submitted within 15 working days of the conclusion of the event. Clubs not meeting this deadline may be subject to late fees or suspension.
